The Palm Planner

Terms

Plain-English terms for clients who book, and for businesses who use The Palm Planner. Last updated October 2026.

Booking terms

What you're agreeing to when you book an appointment.

Who you're booking with

Your appointment is with the business named on the booking page, not with The Palm Planner. The Palm Planner provides the booking tool they use.

Your booking

A booking is confirmed once you see the confirmation screen. Please give accurate contact details so the business can reach you about your appointment.

Changing or cancelling

Use the link in your confirmation to move or cancel. Each business sets its own free-change window and late-cancellation and no-show rules, which are shown before you confirm.

Payments and deposits

Unless the business tells you otherwise, you pay at your appointment. Where a deposit is asked for, the business's own rules apply.

Health and consultation forms

Some treatments need a consultation or patch test form. Please answer honestly, as it helps keep you safe. Only the business can see your answers.

Marketing messages

You'll only get news and offers if you tick the box to say yes. You can unsubscribe at any time using the link in any message.

Business terms

What you're agreeing to when you create a Palm Planner account.

Your account

You must be 18 or over and running a genuine business. Keep your login private; you are responsible for activity on your account.

Fair use

Use The Palm Planner only for your own legitimate bookings and marketing. Don't upload anything unlawful, misuse other people's details or try to access other businesses' records.

Plans and payment

Any paid plan, price and billing date will be shown before you pay. You can cancel at any time and keep access until the end of the period you've paid for.

The service

We work hard to keep The Palm Planner available and accurate, but it is provided as it is, and it may sometimes be unavailable for maintenance or reasons beyond our control. Keep your own note of important appointments.

Our liability

Nothing here limits liability that cannot be limited by law. Otherwise, we are not liable for indirect losses such as lost profit, and our total liability in any 12 months is limited to the amount you paid us in that period.

Ending your account

You can delete your account and all its data from Settings at any time. We may suspend accounts that break these terms.

Data Processing Agreement

This forms part of the business terms and covers the client details you keep in The Palm Planner, as required by UK GDPR.

Roles

For your clients' details, you are the controller and The Palm Planner is your processor. You decide what you collect and why; we store and process it only to provide the service to you.

Your responsibilities

You must have a lawful reason for the details you collect, tell your clients how you use them (for example with your own privacy notice or by linking to ours), only ask health questions you genuinely need, get clear consent for marketing and client photos, and keep your own devices and login secure.

Our responsibilities

We will process your clients' details only on your instructions through the app, keep them confidential, limit access to people who need it, keep each business's records separate, and use reasonable technical and organisational security measures.

Sub-processors

You agree that we may use trusted providers to run the service, including Lovable Cloud for hosting and storage in the European Union, an AI provider when you use the AI helpers, and email, text message and payment providers once those features are switched on. We will tell you before adding or changing a provider that handles your clients' details, and you may object or close your account.

Helping you

We will help you respond to your clients' requests to see, correct or delete their details, and with any security or data protection questions, as far as reasonably possible.

Security incidents

If we become aware of a breach affecting your clients' details, we will tell you without undue delay with what we know, so you can decide whether to report it.

International transfers

Your data is stored in the UK or EU. If any provider processes it elsewhere, we will make sure appropriate safeguards required by UK law are in place.

At the end

When you delete your account, we delete your clients' details, apart from routine backups which are cleared on the normal cycle. You can export your records first from Settings.

Checks

We will give you the information reasonably needed to show we meet these terms. Questions: email hello@palmplanner.com.
